This notice explains how we handle personal data in connection with our website, our marketing, and enquiries we receive. Separate data terms apply to our clients under their service agreements.

We respond to data enquiries within five working days and formal rights requests within one month.

What we do with your data

Website visitors

When you visit our website we collect limited information for the purposes of running the site: IP address, browser type, pages visited, and anything you submit through a contact form.

We use essential cookies only. We do not use marketing or tracking cookies. Server logs are typically deleted within 30 days.

Marketing prospects

If you work at a UK academy trust in a finance, business operations, or leadership role, we may contact you with information about our services.

What we collect: name, work email address, professional role, and the trust you work for.

Where we got it: publicly available sources, including Get Information About Schools (gias.education.gov.uk), Companies House, the Charity Commission, and your trust's own website.

Lawful basis: Legitimate Interests (UK GDPR Article 6(1)(f)). A summary of our Legitimate Interests Assessment is available on request.

Opting out: You can email us directly to be removed. Opt-outs are actioned immediately and recorded permanently in a suppression list so we don't contact you again.

How long we keep it: while you remain in your role at a UK academy trust, plus up to 12 months thereafter. Our suppression list is retained permanently.

Enquiries

If you contact us by email, through our website, or by booking a call, we record the conversation and any documents you share, so we can respond and follow up.

Lawful basis: Legitimate Interests. We retain enquiry data for three years from your last contact, then delete it.

Who handles your data

We don't sell your data. We use the following processors who handle data on our behalf, only as instructed by us:

  • Instantly (United States): marketing email delivery

  • HubSpot (United States and EU): CRM

  • Google Workspace (United States and EU): email, file storage, calendars

Where data is transferred outside the UK, we rely on UK-approved transfer mechanisms, including UK International Data Transfer Agreements and the UK extension to the EU Standard Contractual Clauses.

We may also share data with our professional advisers (such as accountants or lawyers) or with regulators where legally required.

Your rights

Under UK GDPR you have rights to:

  • Ask for a copy of the data we hold about you

  • Ask us to correct inaccurate data

  • Ask us to delete your data in certain circumstances

  • Object to our processing of your data, in particular for direct marketing (which we action immediately)

  • Complain to the Information Commissioner's Office at ico.org.uk if you believe we have mishandled your data

Security

We protect personal data with appropriate technical and organisational measures, and we require our processors to do the same.

Changes to this notice

We review this notice at least annually and update it when our processing changes. The "last updated" date at the top of the notice reflects the most recent change.
